6.5. QR code self check in

Using the QR code self check in method allows you to generate a QR code from within RubiCRM that can be displayed virtually or printed. This QR code can be scanned by your attendees to check themselves in.

 

Generating the QR Code

When logged into RubiCRM, visit the event you wish to generate a self check in QR code for. From the General page, go to the General section and locate the field QR Code. Click the Generate button.

Once generated, you can click the link icon to open the PDF.

Once generated, take the PDF and prepare for your given display method (printed/electronic PowerPoint).

 

Scanning the QR Code

When attendees enter the event, they can scan the self check in QR code using their mobile devices, which will take them to the Event Check In Module app (attendee view).

The attendee view of the app will require them to select their company name and enter their first name and last name, OR enter their Booking ID from their confirmation.

If a match is found, they will be checked in and will receive a confirmation message informing them of successful check-in.

If no match is found, they will be presented with an appropriate message.

 

When you view the event on the Event Check In Module app, you will be able to monitor attendees checking themselves in. As attendees check themselves in, RubiCRM will update, changing the Booking Status from Active to Attended.

Once the event has concluded, any attendees who have not been checked in (still have a Booking Status of Active) will be updated to have a Booking Status of No Show.

 

Before getting starting

For maximum user error reduction, try to ensure that you include the Booking ID as a merge field on booking confirmation emails or pre-event emails sent out from the system.

This is to allow users to self check in using the Booking ID method, if they fail to select their company name and enter their first name and last name.

 

Styling the Event Check In Module app (Attendee View)

You are able to style the attendee view of the Event Check In Module app to include your colours and logo. This allows you to add your own branding to the RubiCRM product.

To update the styling, a Rubi System Admin from within RubiCRM can go to Main Menu -> System -> Settings -> Settings section -> Search for "Event Check-In". This will return all Event Check In Module app-related style settings. Colours should be entered as Hex colour codes.
